3 Foundation Rules for Composing a Commercial Cover Letter

It is not the same whether you intend to send your business cover letter via regular mail or as an e-mail. Try to refuse the temptation to use exactly the same cover letter template for your e-mail correspondence and for your snail mail letter correspondence. Those two ways of communication are worlds apart in terms of how people accept them, read them, remember them.

E-mail adapted cover letters for business

Internet made it possible to mass mail millions of people worldwide, hence your competitive advantages begin with composing a better cover letter or sales letter than the others, which is a very hard thing to accomplish. The golden rule is to use both tactics, direct mail and email communication to address your buyers or business partners. Both possibilities (mail and regular post) are therefore advisable and acceptable.

However, when you send a business cover letter over email, you need to follow a few ground rules:

1. Using the right length, language and colors in your business cover letter may help you get the advantage in the minds of your target audience. The correct formatting is as described below:

a. Language - the language should be simple and crisp.

If you make it understandable for a 13 year old, than everyone will get your point. Avoid at all cost any bombastic words or unusual phrases.

b. Five lines is what you should target for the length of your paragraphs.

Do not overestimate the interest for your business cover letter, readers get tired after reading more than 5 sentences in a row especially if it concernes one and the same subject.

c. Length - as long as it is compelling you could use any length you want or need.

Though it depends on the business you are in to, your business cover letter could contain anywhere between 3 and 7 paragraphs.

d. Do not use screaming colors, keep your cover letter professional and content focused.

Use only bold or underlining when you want to highlight some point. If you simply can not resist using strong colors, than try not to mix warm and hot color tones too close to each other. Kepp it under 3 basic colors if you want to leave a good impression with your readers.

Try to make your color scheme such that it supports the content, it should invite the reader to read through the whole content and not being distracted by too many pictures or colors.

2. Whatch out for the words in the subject line that usually get penalized as spam.

Without knowing the name or the ID number of the person you are trying to e-mail, it will be hard to follow up on how many of your business letters ended up deleted by the user or by the mail client. The subject line should be the product or service name so the customer would immediately know what it is about - and not delete it.

3. The content in the body of the business cover letter is the part where your sales are actually happening, missing the expectations of your clients is something you can not afford.

The business cover letter is not the end of your communication with your prospective audience, be sure to give them reasons to opt in for your regular ezine notifications. Whoever receives an email offer with your business cover letter, should be given an incentive to ask for more information about your services or products, hence try to open as many communication doors with them as possible.

The more attractive the offer, the faster would be the reaction of the customer.
